How We Work: AI Process Automation in 3 Phases | theBlue.ai

AI Process Automation Consulting: See Exactly How We Work – Cost, Scope & Timeline Upfront

Every engagement follows three phases. The first one is designed so you can evaluate us, see the analysis, and make an informed decision – without committing to a larger project. Here’s exactly how it works.

PHASE 1 · YOUR STARTING POINT

Process analysis & architecture proposal

We work with your team to understand the manual process you want to automate – who’s involved, which systems they use, where the bottlenecks are, and what the exceptions look like. We interview stakeholders, map the end-to-end workflow, and assess the data and systems landscape.

Then we design an AI architecture specifically for your environment – respecting your security standards, infrastructure constraints, and internal review processes. The deliverable is a complete proposal: architecture, integration plan, timeline, and cost estimate for implementation.

WHAT YOU GET

A complete proposal – process analysis, architecture, integration plan, timeline, and cost – ready to present to your internal stakeholders, IT department, and security team. You decide whether to proceed.

Duration

1–3 weeks

Investment

From €5,000

Format

On-site or remote

Commitment

Standalone – no obligation to continue

Your internal review

Phase 1 delivers a standalone result. Take the proposal to your stakeholders, IT, security, and procurement. If the numbers don’t justify the investment, you walk away with a clear analysis and zero further obligation. Most clients use Phase 1 to get internal alignment before committing to implementation.

PHASE 2 · BUILD & INTEGRATE

Development & system integration

Based on the approved architecture, we build the AI system and integrate it with your infrastructure. Development happens iteratively, you see working components early and give feedback throughout, not just at the end.

We integrate with your existing tools: SAP, SharePoint, Azure, Jira, email systems, file servers, or whatever your team already runs. Edge cases are refined together with your domain experts – the people who know where the real exceptions live.

Scope is managed through milestones. If requirements shift during the project (they often do), we re-scope transparently rather than hiding overruns.

WHAT YOU GET

A working system integrated into your environment, tested against your real process requirements, and ready for production validation.

Duration

8–32 weeks (depends on scope)

Pricing

Milestone-based

Process

Iterative with regular checkpoints

PHASE 3 · GO LIVE & SUPPORT

Production rollout & ongoing improvement

The system goes live with real data and real workflows. We monitor closely during the initial period, refine based on real-world performance, and iterate on edge cases that only surface in production.

Then we hand over with full documentation, training, and knowledge transfer. Your team owns the system. Ongoing support and maintenance is available if you want it – but you’re not locked in.

WHAT YOU GET

A production system your team uses daily, with full ownership, documentation, and the option for ongoing support.

What to expect

Every engagement starts with a scoped analysis. Implementation is quoted separately based on your specific systems and process complexity.

Phase 1 · Process Analysis

From €5.000

Fixed price · standalone engagement

Process mapping, stakeholder interviews, architecture design, integration plan, timeline, and implementation cost estimate. Deliverable is yours regardless of whether you proceed.

Phase 2–3 · Build & Run

€25.000–100.000+

Milestone-based · scoped in Phase 1

AI system development, integration with your infrastructure, testing, production rollout, documentation, training, and optional ongoing support. Exact scope and price defined in Phase 1.

Pricing varies based on process complexity, number of systems involved, deployment model (cloud, on-premise, hybrid), and whether you need ongoing support. Phase 1 gives you exact estimates.

Questions we get asked often

What if Phase 1 shows AI isn’t the right solution?
Then we tell you. Phase 1 is designed to surface that – better to find out at €5K than at €100K. You keep the full analysis and can use it to inform other decisions. We’d rather turn down a project than deliver something that doesn’t work.

Do you work with our existing systems or replace them?
We integrate, never replace. Your ERP, CRM, email, ticketing, file systems, they stay. We build AI that plugs into what you already run. No new platforms, no change management, no migration.

Can you deploy on-premise?
Yes. We deploy on-premise, private cloud, hybrid, or public cloud, depending on your security requirements and infrastructure. We adapt to your environment, not the other way around.

How long does a typical project take end to end?
Phase 1 takes 1–3 weeks. Phase 2 varies from 4 to 16 weeks depending on complexity. Most projects from first contact to production system are 2–5 months. Phase 1 gives you an exact timeline for your specific case.

Who do we work with on your side?
Senior engineers from day one. The people who design the architecture are the same people who build it. No account managers, no handoffs to junior resources. Your main contact throughout is our CTO or a senior AI architect.

What if our requirements change during the project?
They usually do. Scope is managed through milestones, if requirements shift, we re-scope transparently with a clear impact on timeline and cost. No hidden overruns.

Do we own the system when it’s done?
Yes. Full code, documentation, and knowledge transfer. You’re not locked into ongoing payments or proprietary platforms. Ongoing support is available if you want it, but you’re never dependent on it.
